| Cyber Skill #21 Filtering/Organizing emails in Outlook |
|
Introduction If you get 10-25 emails a day, you probably don't need this lesson, but if you receive more than 20 emails a day, and/or you receive ezines that you want to have filed away for you automatically, then you're going to want to set up filtering with Outlook. Step 1 Launch Outlook Step 2 Tools>Rules Wizard Then, Click New ![]() Step 3 Click on type of rule you wish Most often you'll click on the rule circled in red. Then, Click Next ![]() Step 4 Scroll and select the 'condition' you want (Typically, the one we've circled in blue) Click on the box (circled in red) Click Next ![]() Step 5 The rule description will automatically appear. Click on 'specific words' (circled in red) Click Next ![]() Step 6 This dialog box will automatically appear Type in what you want to call your rule in the Add new area (circled in red) Click Add Repeat if you want this rule to look for more than one thing in the subject line When you're done Click OK ![]() Step 7 This dialog box pops up. Click on the underlined item (circled in red) Coaching Scoop appears below because that's what we typed in the previous step. Whatever YOU typed in during the previous step will appear below. Click Next ![]() Step 8 This dialog box will appear. Now, tell the wizard what you want to do with the messages that arrive with something specific in the subject line. Check the box (circled in red) This assumes that you want to move these messages to an Outlook folder when they arrive. Obviously, there are other 'handling' options available below. ![]() Step 9 Click on 'specified' folder (circled in red) ![]() Step 10 This dialog box appears. Scroll to find the Outlook folder you want to move these incoming emails to. If you haven't yet set up a folder for these, you can do so now by clicking on the New (circled in blue). If you already have a folder set up, Click on the Folder Name (circled in red) and Click OK. ![]() Step 11 This dialog box appears. Type in the name you want to use for this rule You can type anything that will help you remember which rule this is given you may eventually setup 10 or 20 or even 100 rules. If you want to have this rule do its thing on the email currently in your IN box, check the box circled in blue. Normally, you'll leave the box checked that circled in teal, but if you don't want to turn on this rule right now, just uncheck it. Click Finish ![]() Step 12 This dialog box appears. Review and Click OK. If everything is as you wish it to be (the rule instructions circled in red below), click OK. ![]() You're done! You can always modify existing rules, turn off rules and/or add more rules at Tools>Rules Wizard.
